Health and Safety Training FAQ

In most circumstances the new employee’s training courses will be available in Avenue to Learn on their first day of employment.  Note those employees working in a hospital environment will still be required to complete FHS Hospital Fire Safety training in addition to the SAFE training.

 

 

 

Health and Safety Training Frequently Asked Questions

Please find below answers to the most frequently asked questions regarding health and safety training.

All McMaster employees are required to complete Health & Safety and Regulatory training in Avenue to Learn (A2L). 

You must have an activated MacID and access to Avenue to Learn (A2L). If you haven’t activated your MacID, you won’t be able to access the training. If you do not have access to Avenue to Learn, refer to the troubleshooting information on the Avenue to Learn Knowledge Base.

Begin by logging into Mosaic, then go to the Employee Self Service homepage, click on Regulatory Training, and then, click the Complete Training (A2L) tile. If prompted, log in with your Office 365 (MacID) credentials. 

 

All employees:  

  • Health and Safety Orientation
  • SAFE
  • Violence and Harassment Prevention in the Workplace
  • WHMIS 2015
  • AODA & Human Rights Code
  • Primer on Privacy 
  • FHS Hospital Fire Safety (FHS Employees Only) 

 Managers:  

  • Accident Investigation  
  • Due Diligence  

Course start and end dates are related to session information only and do not relate to course enrollment or course completion due dates. Once registered the training will be available in Avenue to Learn within 15-30 minutes. 

 

Employees whose positions are set up as ‘Reports To’ in Mosaic HR will be auto enrolled in the mandatory supervisor training courses, provided they have at least one active direct report. The mandatory supervisor training courses are Accident Investigation and Due Diligence.

New employees are automatically enrolled in the following mandatory training courses: 

  • SAFE  
  • Health and Safety Orientation 
  • Violence and Harassment Prevention in the Workplace
  • WHMIS 2015
  • AODA & Human Rights Code
  • Primer on Privacy
  • Faculty of Health Sciences (FHS) employees will also be auto-enrolled in the FHS Hospital Fire Safety. 

New managers will also be automatically enrolled in Accident Investigation and Due Diligence. 

Employees are automatically re-enrolled in mandatory health and safety courses when one of the following scenarios applies:  

  • The employee has been rehired and their compliance in any mandatory courses has lapsed or they missed an enrollment in any required courses.
  • An employee has returned from a leave of absence and their compliance in mandatory courses lapsed during their time away.
  • The employee has changed positions in the university from a central department to an FHS department (enrolled in FHS Fire Safety).
  • The employee receives a secondary assignment in an FHS department (enrolled in FHS Fire Safety).
  • The employee becomes a supervisor and their position is setup as a ‘Reports To’ in Mosaic HR (enrolled in mandatory supervisor training courses).
  • The employee is a supervisor whose compliance in the mandatory supervisor training courses has lapsed.

It takes approximately 4-5 hours to complete all six of the mandatory employee health and safety training courses for employees.  

 This estimate does not include FHS Hospital Fire Safety training, or the two mandatory manager courses.

If you notice courses listed in the ‘My Courses’ section that you weren’t expecting, it likely means they’re still required for you to complete. A few examples of this may include Orientation and S.A.F.E, among others.

Make sure you’re checking both the All and Continuing tabs in the My Courses section. If you’re missing courses, check My Training Summary in Mosaic to confirm enrollment, or refer to the job aid on How to Enroll in Health & Safety Training. 

There may be a delay (typically 15–30 minutes) between enrolling in a course in Mosaic and the course appearing in Avenue to Learn. Wait a short time and refresh the page.

If you do not have access to Avenue to Learn, refer to the troubleshooting information on the Avenue to Learn Knowledge Base. Note that it is important to ensure that you have activated your MacID

Each course typically includes videos, transcripts, supporting resources, and a quiz you must complete. All course components must be completed in Avenue to Learn before your status will update to ‘Completed’ in Mosaic and any associated reports.

After finishing the course and quiz, your status in My Training Summary in Mosaic will update to Completed by the next day.

In addition to the mandatory training courses:  

PHIPA Training is mandatory for all university employees who work with or access personal health information in their role at McMaster or partner institutions. This training must be completed annually. 

Harmonized Research Training is required annually for researchers working with personal health information. This is a new requirement. The applicable Faculty of Health Sciences employees should visit the Health Research Services website Good Clinical Practice Training – Health Research Services  for further details. 

FHS Hospital Fire Safety is required annually for all FHS employees. Faculty of Health Sciences can visit FHS Safety SharePoint for more information. 

For a complete list of role-specific training requirements, you should review the training matrices. These documents outline mandatory training courses based on job responsibilities and associated hazards. Reviewing these documents is essential for determining which courses apply to your role. The training matrices can be accessed via the Training Matrices tiles on the Regulatory Training homepages in Mosaic Employee Self Service and Manager Self Service.  

As a reminder, for all mandatory courses you will be auto-enrolled as soon as you are out of compliance.

Supervisors must:  

  • ensure employees complete the required health and safety training before working with any hazards  
  • ensure employees maintain their training compliance

Mandatory TA/RA in Lieu Training covers Anti-Oppression and Pedagogy and is facilitated through Human Resources. This training is required for Teaching Assistants (TAs) and Research Assistants (RAs) working in place of traditional academic roles.  

Any employee serving as a TA or RA in an alternative capacity is required to complete this training to ensure awareness of anti-oppression principles and effective pedagogical strategies in their work. 

Mandatory TA/RA in Lieu Training (Anti-Oppression and Pedagogy) – Human Resources

As of September 2023, these four courses were replaced with the SAFE training.

When the Fire Safety frequency is due, you will need to complete SAFE training which replaced Fire Safety in September 2023. 

As of May 1, 2022, COVID-19 training is no longer required through Mosaic.  Information can be found on the McMaster University Guidance for Illness Prevention. 

A Job Hazard Analysis (JHA) is a documented assessment of the main activities associated with each employee’s role. It identifies workplace hazards and necessary controls to ensure safety. A JHA clarifies the risks associated with tasks and helps determine the required training. 

Job Hazard Analysis (JHA) – Human Resources

Managers will schedule time to go through a JHA with their direct reports. During this process, additional training requirements may be identified based on specific role and workplace environments. 

For hazard specific training, manual enrollment in the course(s) via the Training Enrollment tile is required.

How to Enroll in Health and Safety and Regulatory Training

A JHA must be completed for: 

  • New hires 
  • Rehires
  • Position changes
  • New task assignments

Employees may also create their own JHA and review it with their supervisor.

Managers are responsible for monitoring the Health & Safety training compliance of their direct reports, however both employees and managers can utilize the available reports to review compliance.  

There are several reports to support managers and employees to monitor training compliance including: 

  • Mandatory Health and Safety Training Compliance Summary  
  • Department Training Summary  
  • Employee Training Summary via Employee Self Service (ESS) Report  
  • Employee Training Summary (this report is accessed for the HR Reporting Hub and was developed to support the Biosafety Office)

The POI request form is available for volunteers, visiting scientists, contractors, and other individuals during their temporary stay at McMaster University. It grants them the necessary access to Mosaic and Avenue to Learn to complete their required Health and Safety training.

The Training Coordinator is responsible for keeping track of training records within a department. This role grants access to training records in Mosaic, allowing individuals to monitor compliance and ensure employees complete required training. 

To set up Training Coordinator access, submit a service request to UTS at Technology Services | IT Help Center: 

  • Request Type: Select Accounts and Access 
  • Select Mosaic Access 
  • Access Type: Choose HR Access 
  • Security Required: Select Training Coordinator 
  • Complete all required fields, including all department IDs you manage 
  • Attach or forward an approval email from your supervisor 

Students who have registered and are on the waitlist for any active session of a mandatory course will be automatically enrolled in the active session via the Health & Safety Course Auto-Enroll process which runs nightly.
