IMPORTANT: Time Entry Instructions For The Civic Holiday (August 5, 2019)
There is no change to the time entry and approval deadline for the next staff pay (201917-SAM) as a result of the Civic Holiday.
Please see the important information below regarding time entry requirements for the Civic Holiday.
Interim (Temporary/Casual) Employees Civic Holiday Time Entry
ESA Interim (Temporary/Casual) employees are not entitled to public holiday pay for the Civic Holiday as it is not one of the nine public holidays recognized by the Ontario Employment Standards Act.
For further information, refer to the Ontario Employment Standards Act legislation on public holiday pay.
ESA Interim (Temporary/Casual) Employees Setup as Hourly (i.e.: positive time reporting) – The Civic Holiday will not generate hours for ESA employees setup as hourly. If an employee worked on the Civic Holiday (Monday, August 5th), you are required to enter the hours worked as “Regular”. The time will be paid at the employee’s regular wage rate.
ESA Interim (Temporary/Casual) Employees Setup as Exception Hourly (i.e.: time generates automatically from their schedule) – For ESA employees setup for exception based time reporting, the employee’s regularly scheduled hours will generate for Monday, August 5th. If the employee did not work on the Civic Holiday, you will need to report this absence as “unpaid time.” If you need assistance entering the absence, please contact your HR Representative.
If an ESA employee setup for exception based time reporting worked hours different than their regularly scheduled hours on Monday, August 5th, you will need to change the hours to the appropriate number of “Regular” hours worked. The time will be paid at the employee’s regular wage rate.
Exception Hourly (non ESA) and Salaried Employees Public Holidays and Time Entry
The system will automatically generate the Civic Holiday entitlement for each group (according to any applicable Collective Bargaining Agreements). If an employee works on the Civic Holiday, you are required to enter the hours worked as “Regular”. The system will convert these hours to the appropriate premium rate.
